Job Summary
Galapagos Federal Systems LLC is seeking a highly skilled and motivated level
three Executive Assistant to join our dynamic team of professionals dedicated
to excellence and mission success.
As a key member of the Headquarters Space Training and Readiness Command’s
Plans, Programs, & Requirements Directorate, the Executive Assistant
will play a pivotal role in ensuring the seamless operation of the Division
program office.
This position requires a proactive, detail-oriented professional who excels
in providing high-level executive administrative support in a fast-paced,
high-visibility environment.
The ideal candidate will bring a proven history of success in supporting
mission-critical programs, demonstrating exceptional administrative
capabilities, outstanding organizational skills, and the ability to work
independently while managing multiple priorities.
This role is essential to maintaining the Division’s operational efficiency
and supporting strate gic initiatives.
Compensation Minimum: $100,000
Compensation Maximum: $120,000
Job Requirements:
Skills / Experience Required
Possesses Top Secret clearance, SCI eligible, and SAP accessible
Personnel in designated positions may be required to consent to and
successfully complete a Government Counterintelligence Scope Polygraph
Demonstrated 10+ years of hands-on experience in relevant roles within the
Department of Defense, showcasing a proven track record of excellence and
expertise
No less than four years’ experience in a Special Access Program and/or SCI
environment within the last five years
Serve as a trusted advisor and dependable resource for executives,
proactively anticipating needs and resolving issues with efficiency and
discretion
Facilitate seamless communication by acting as a liaison between executives
and internal/external stakeholders, professionally managing
correspondence, phone calls, and emails
Expertly manage complex schedules and calendars, coordinate travel
arrangements via the Defense Travel System (DTS), and preemp tively
address potential scheduling conflicts to ensure smooth operations
Experienced in handling confidential and classified information with utmost
care, adhering strictly to established security and privacy guidelines
Demonstrated expertise in organizing and coordinating meetings,
conferences, and events, managing logistics, preparing agendas, and
ensuring all materials are complete and accurate
Skilled in managing special projects and initiatives, conducting thorough
research, compiling data, maintaining databases, and preparing concise
briefs and reports to support executive decision-making
Skilled in delivering clear and concise written and verbal communication of
complex concepts, ensuring alignment and fostering understanding among
diverse stakeholders
Excels in critical thinking and problem-solving, proactively identifying
challenges and implementing innovative, practical solutions
Proven ability to work autonomously whi le effectively collaborating with team
members and engaging with senior leadership, creating a cohesive and
supportive environment
Demonstrates exceptional leadership and organizational expertise, with a
sharp attention to detail and the ability to prioritize and manage multiple
tasks in a high-pressure, fast-paced environment
Education / Certifications
Possess a Master of Arts/Master of Science/Master of Engineering
(MA/MS/ME) degree although relevant work experience or training may be
considered as a substitute, in accordance with the Office of Personnel
Management’s (OPM) Crediting Combinations of Education and Experience standard

Security Clearance
Must be a U.S. Citizen. A high-level Department of Defense active security
clearance is/may be required. Applicants selected will be subject to a
security investigation and may need to meet eligibility requirements for

Physical Requirements
Work may involve sitting or standing for extended periods of time and typing
and reading from a computer screen. The candidate must have enough mobility,
including bending, reaching, and kneeling, to complete daily duties in a
prompt and efficient manner and that may include lifting to thirty pounds,
as necessary.
